The Challenge
How to reduce painful, manual, admin tasks
Parkwood Leisure manage eighty leisure facilities on behalf of thirty one local authorities throughout England and Wales. The company is brand agnostic and markets local facilities to local communities using its lesiurecentre.com while label.
As a long term partner ioSTUDIOS worked closely with the business to identify inefficient consumer facing operational administration tasks which if digitised could add immediate and significant efficiencies and additional value to both the customer and the business.


The Solution
Digitise and Automate
ioSTUDIOS conducted strategic discovery exercises with the Parkwood senior leadership team along with operational and observational exercises with front line team members. It was identified that digitising the following tasks would deliver the benefit: registering to use the facility, buying a membership at the facility with an advisor or self service, self service class check in. The approach needed to be flexible, allowing individual facilities to deploy and scale up the digital services which would provide the most benefit. It was decided to develop a decoupled web-app which would allow a specific tablet device to be configured for either a single service or multi services. The business would then have the flexibility to quickly add more or reconfigure devices based on demand.
Tablets configured for registration could be permanently fixed to counters or designated areas to manage footfall flow into a facility, tablets configured for purchasing of a membership can be used be a membership advisor during a tour of a facility and tablets configured for check-in can be given to a class instructor of fixed to a studio entrance.
The user experience for each digital service was prototyped and modelled to ensure it used accessible design patterns and contained easy to follow informative steps using clear understandable language for the user. Versions of each module were created in both English and Welsh.
ioSTUDIOS have developed a deep understanding of Parkwood’s software ecosystem which through our enabler project CORE- Integration Management for Leisure Providers, has allowed for seamless api integrations to be developed with Legend by Xplor – Enterprise Membership Management Software and Atreemo by Acetol – Single Customer View Enterprise CRM Software. These integrations have allowed the business to leverage the power of these enterprise applications through modern best in class web applications.
The development process followed our highly successful collaboration approach with daily project stand ups, regular show and tells and a transparent open and honest dialogue with the client at all times. Our shared aim was to deliver impact quickly through producing and deploying robust software.
The Result
Time Savings and Robust Data
Within three months of launching the digital services within the business captured 44,000 new facility registrations with user receiving QR codes and digital passes. This provided compliant insight and segmentation data for the Single Customer View which the business has been able to utilise to uplift user yield.
Migrating on site membership sales to a digital process has reduced administration time by twenty minutes per sale and has allowed facilities to utilise personalised campaigns which were previously only available online. Financial efficiencies have been created through the removal of manual triplicate agreement forms and a robust digital audit log for each transaction is now available.
Tablet devices are now deployed and delivering measurable across the whole of Parkwood Leisure’s estate of leisure facilities.
